Google Business Profile assumes customers can walk in. Here is how to configure hours, address and booking links when they cannot, and how to stop unwanted drop-ins turning into one-star reviews.
Appointment-only businesses get a raw deal from Google Business Profile. The whole system is built around the assumption that someone can walk in, and half the fields either do not apply to you or actively mislead the person reading them. Set your hours honestly and you look closed. Set them to when you are reachable and you get walk-ins you cannot serve.
Neither of those is the right answer, and the correct setup is not obvious from the interface.
This guide covers how to configure a profile when customers only come by appointment: the hours question, the address question, and how to stop the two most common problems, which are unwanted drop-ins and one-star reviews from people who found a locked door.
A closely related question is answered in local SEO from a residential address.
An appointment-only business should keep a displayed address only if customers physically come to that address, and should hide it if you travel to them instead.
This determines every other setting, so resolve it before touching anything else.
Keep the address displayed if: clients attend appointments at your premises. A therapy practice, a tattoo studio taking bookings, a private clinic, a photography studio.
Hide the address and set a service area if: you travel to the client. A mobile notary, an in-home trainer, a consultant working on client sites.
The mixed case is common and usually resolves toward displaying the address, provided some appointments genuinely happen there. Most businesses that see clients in person should display it, then handle the walk-in problem with the settings below rather than by hiding.
🛠️ Action Step: Ask whether a customer could arrive at your address for a scheduled appointment. If yes, display it. If no, hide it and configure a service area.
Set your hours to when you are genuinely available for appointments, then use the profile's fields and description to make clear that visits are by appointment only.
The instinct is to leave hours blank or mark yourself permanently closed outside booked slots. Both are worse than the problem they solve.
Why blank hours hurt: a profile with no hours looks abandoned, and Google surfaces open businesses more readily for "near me" searches. You lose visibility for no benefit.
Why marking yourself closed hurts more: you become nearly invisible during the exact hours people are searching to book.
What to do instead:
⚠️ Common Mistake: Setting 24-hour availability because you take bookings online at any time. Hours describe when a customer can be served, not when your booking form is reachable. It generates late-night calls and eventual poor reviews.
Add an appointment link so the profile's primary call to action is booking rather than visiting or calling, because that single field redirects the behaviour you do not want.
Google Business Profile supports an appointment URL, and appointment-only businesses should treat it as the most important field on the profile.
Set it to:
Avoid pointing it at your homepage. The value comes from landing someone directly on the action.
💡 Pro Tip: If you have no booking software, a simple page titled "Book an appointment" with a short form still works. The point is that the button says book and the destination matches, which is what stops people turning up unannounced.
Reduce unwanted drop-ins by stating the appointment requirement in your description, your services, your photos and your Q&A, because customers rarely read only one field.
People miss a single notice. They tend not to miss four.
Where to say it:
The Q&A entry is the most underused. Post the question "Do I need an appointment?" and answer it yourself. It displays prominently and it is one of the few places you control both sides of the exchange.
Respond calmly to reviews from people who arrived without an appointment, because those reviews are read by future customers and the response matters more than the complaint.
This is the specific reputational risk of appointment-only operation. Someone drives over, finds the door locked, and leaves a one-star review about it.
A response that works:
"I'm sorry you had a wasted trip. We work by appointment only so we can give each client our full attention, and our booking link is on this profile. I'd be glad to find you a time if you'd still like to come in."
Calm, explains the model, offers a remedy. Do not argue that the information was clearly displayed, even when it was.
If it happens repeatedly, treat it as a signal that your profile is not communicating clearly enough, and add the appointment requirement in another place. Templates for harder cases are in how to respond to negative reviews.
📊 Flento Data: Across local profiles, complaints about access and availability are among the most common non-service reviews, and they fall sharply when the constraint is stated in more than one field.
Appointment-only businesses should ask every client, because your total customer volume is lower than a walk-in business and each review carries proportionally more weight.
A shop serving two hundred people a week can afford a low ask rate. Seeing eight clients a week, you cannot.
What works:
The upside of low volume is that your appointments are usually longer and more personal, so clients are considerably more willing to write something substantive than a retail customer would be. A repeatable process is in how to build a review management system.
🔥 Quick Win: Add the review link to your appointment confirmation and follow-up messages. Most booking systems support this and almost nobody configures it.
Flento keeps the profile fields that matter for appointment-only businesses accurate, and builds review flow against naturally low client volume.
Google Business Profile Optimizer flags missing appointment links, incomplete descriptions and empty Q&A, which are exactly the fields that prevent unwanted walk-ins.
Google Review Management Software sends the request after each appointment automatically, which matters more when you see eight clients a week than eight hundred.

Q: Should an appointment-only business set hours on Google Business Profile? A: Yes. Set them to the window in which you genuinely serve appointments. Blank hours make a profile look abandoned, and marking yourself closed removes you from "near me" results during the hours people are actually searching to book.
Q: Should an appointment-only business hide its address? A: Only if clients never come to you. If appointments happen at your premises, display the address and manage walk-ins through your description, services, photos and Q&A instead.
Q: How do I stop people turning up without an appointment? A: State the requirement in several places rather than one. Description, service names, a photo caption and a self-posted Q&A entry together are far more effective than a single line anyone can miss.
Q: What should I do about a bad review from someone who arrived without booking? A: Respond calmly, explain the appointment model briefly, and offer to find them a time. Do not argue that the information was displayed. Future customers judge you on the response, not the complaint.
Q: Is the appointment link field worth setting up without booking software? A: Yes. Point it at a simple page with a booking request form. The value is that the profile's main action becomes booking rather than visiting, which redirects the behaviour causing your problems.
Q: How many reviews does an appointment-only business need? A: Fewer than a walk-in business, but you must ask more consistently because your customer volume is lower. Ask every client, since each one represents a larger share of your potential review base.
Google Business Profile assumes you have a door people can open. You do not, and the fix is not to hide from the system but to make the appointment requirement impossible to miss and the booking action impossible to overlook.
Set honest hours, add the booking link, and say "by appointment only" in four places rather than one.
Then ask every client who walks out for a review, because at your volume each one counts for a lot. Try Flento free.
