Locked out of your own Google Business Profile? Here is the recovery process step by step, the evidence that actually wins appeals, and the mistake that gets both listings suspended.
Losing access to your own Google Business Profile is one of the few local SEO emergencies that genuinely deserves the word. Your listing keeps ranking, keeps taking calls, and keeps collecting reviews, and you cannot touch any of it. Sometimes a former marketing agency holds it. Sometimes an ex-employee. Occasionally someone who has no legitimate connection to your business at all.
The recovery process exists and it works, but it is slow, evidence-driven, and easy to lose through impatience. This guide covers exactly what to do, in what order, and what to avoid while you wait.
If your profile is fine and you are reading this as prevention, skip to section 7. That is the part that stops this happening.

Before requesting anything, identify whether your profile is held by a known party, an unknown party, or is simply unverified, because each leads to a different and much faster path.
These three look identical from the outside and are resolved completely differently.
Situation A: A known party holds it. A former agency, a web developer, a departed employee. The fastest resolution is almost always a direct request, not a Google process.
Situation B: An unknown party holds it. You request access and see a masked email you do not recognise. This is where the formal dispute process applies.
Situation C: Nobody has verified it. The listing was auto-generated by Google and never claimed. This is not a dispute at all, just a normal verification.
🛠️ Action Step: Search your business on Google, click "Own this business?" and note exactly what happens. If you see a masked email like j••••@gmail.com, you are in situation A or B. If it offers to verify, you are in situation C and this is much easier than you feared.
When a former agency or employee holds your profile, ask them directly and in writing first, because a transfer takes them two minutes and a Google dispute takes you weeks.
This feels unsatisfying when the relationship ended badly, but it is genuinely the fastest route, and most people comply. They usually have no interest in holding it, they simply forgot.
A message that works:
"Hi [name], we need to take ownership of our Google Business Profile for [business]. Could you add [your email] as an owner? Once it's transferred we'll remove the old access. Happy to jump on a call if it's easier."
Neutral, specific, easy to say yes to. No accusations, no legal language. Threats slow this down considerably.
If they agree, they add you as an owner, you wait the mandatory period before you can remove them, and it is done. The mechanics are in the GBP optimization checklist.
⚠️ Common Mistake: Opening with a legal threat. It converts a two-minute favour into a dispute the other party now has an incentive to ignore, and Google will not move faster because you are angry.
If the holder is unknown or unresponsive, use Google's Request Access flow, which notifies the current owner and gives them a limited window to respond before you can escalate.
The process is deliberately slow because Google is protecting legitimate owners from hijacking. That protection is the same thing frustrating you now.
How it runs:
The no-response path is the most common outcome with abandoned agency accounts, and it is the one that requires patience rather than effort.
💡 Pro Tip: Submit the request from an email on your business domain, not a personal Gmail. It carries visibly more weight in the review and costs you nothing to set up first.
Appeals succeed on documents proving the business is yours and operates at that address, not on explanations of what happened.
Reviewers are checking one thing: does this person legitimately control this business at this location? Narrative does not help. Documents do.
Assemble before appealing:
What does not help:
📊 Flento Data: Across profile recovery cases, the strongest single predictor of success is exterior signage photography matching the registered address exactly. Mismatched names between signage and paperwork is the most common reason an otherwise valid appeal stalls.
Do not create a second profile for the same business, because duplicate listings split your ranking signals and can get both suspended.
This is the single most damaging mistake, and it is completely understandable. You are locked out, you need to be findable, so you create a new listing. Now Google sees two profiles for one business, cannot decide which is real, and often trusts neither.
Avoid while waiting:
Do instead:
If a duplicate already exists, the duplicate Google Business Profile guide covers the merge process.
Direct transfers resolve in days, Request Access typically takes one to two weeks including the response window, and contested appeals commonly run several weeks longer.
Setting the expectation honestly matters, because most self-inflicted damage happens when owners assume something has gone wrong at day four and start improvising.
Realistic timelines:
Google's own documentation on getting started with a Business Profile covers the verification steps that follow once access is restored.
Prevent future disputes by owning the profile from a business-controlled account and granting agencies manager access rather than ownership.
This is the whole lesson, and it takes ten minutes once you have access back.
The setup that protects you:
Manager access lets an agency do every piece of day-to-day work. Ownership lets them lock you out. There is almost never a reason to grant the second.
🔥 Quick Win: Open your profile's user list right now and check who has owner access. Most businesses find at least one person who should have been removed a long time ago.

Q: Can Google remove an owner from a Business Profile for me? A: Not on request alone. Google will transfer ownership through the Request Access process when the current owner fails to respond, or through an appeal supported by documentation proving you control the business. There is no shortcut that bypasses this.
Q: What if my former agency refuses to release the profile? A: Submit Request Access and appeal with documentation. A refusal does not end it. Ownership follows the legitimate business, and licence, lease and signage evidence is what decides it.
Q: How long does a Google Business Profile ownership transfer take? A: A cooperative transfer takes days. Request Access with an unresponsive holder typically takes one to two weeks. Contested appeals commonly take three to six weeks or more.
Q: Should I create a new profile while waiting for access? A: No. Duplicate profiles split ranking signals and frequently result in one or both being suspended. It is the most damaging thing you can do while a dispute is open.
Q: What documents do I need to prove ownership? A: Business licence or registration, a utility bill at the business address, lease or deed, and photographs of exterior signage. The business name must match exactly across all of them, which is where most appeals fail.
Q: What is the difference between owner and manager access? A: Owners can add and remove other users, including you, and can delete the listing. Managers can edit information, post, and respond to reviews but cannot remove owners. Agencies should always be managers.
Every week your profile is locked is another week of calls you cannot track, reviews you cannot answer, and information you cannot correct while your listing keeps working for someone else.
The recovery process is slower than it should be, but it is winnable, and it is won on documents rather than arguments. Gather the licence, the utility bill and the signage photos before you appeal, and resist every instinct to create a second listing.
